This policy explains how cancellations and refunds are handled for ViroNow’s scoped service engagements. Specific terms may be adjusted in a written agreement for a particular engagement.

1) Scope

ViroNow provides scoped professional services, such as drafting and review of documentation. This policy covers cancellations and refunds related to those services. If a separate written agreement (or statement of work) applies, its terms may clarify or override details for that engagement.

2) Eligibility and general principles

Refund consideration depends on:

  • Whether work has started and the portion of work completed.
  • Whether deliverables (drafts, review notes) have already been provided.
  • Whether cancellation is due to reasons within the client’s control (e.g., changed priorities) or mutual agreement.

Because services involve time-based professional work, refunds are typically partial when work has already been performed.

3) Cancellation timing

A. Before work starts

If you cancel before we begin work (as confirmed by our start notice or first draft activity), we will generally consider a refund for the unused portion, subject to any administrative costs already incurred (if applicable and agreed in writing).

B. After work starts

If work has started, we may provide a partial refund based on the completed portion. In many cases, we will deliver any in-progress materials that are reasonably shareable, depending on the engagement stage.

C. After delivery

After final deliverables have been provided, refunds are not typically available unless required by applicable law or explicitly agreed in writing.

4) Digital services and deliverables

Many deliverables are digital documents (drafts, redlines, comments, handover notes). Once provided, they may be used internally by the requester. If you cancel mid-engagement, we may still provide already completed or partially completed materials, depending on the scope and payment state.

This policy does not cover third-party fees (if any) unless explicitly stated in writing.

5) How to request a cancellation or refund

To request cancellation or refund review, contact us and include:

  • Your name and contact email
  • Engagement reference (if available)
  • Reason for the request
  • Requested resolution (cancel, reschedule, partial refund review)

6) Disputes and resolution

If you disagree with a billing or refund outcome, you can request a review by providing the relevant engagement details and the parts you believe are in dispute. We aim to resolve issues through written clarification and a practical breakdown of work performed.

This policy does not limit any mandatory consumer rights that may apply under relevant law.
